Truck Cleaning Management Process

Snapshot

  • Primary User: Managers, Supervisors
  • Purpose:Keep all company trucks clean, organized, and presentable with minimal overhead to manage.
  • Applies To: Managers and supervisors overseeing crews and fleet.

Truck Assignment

  • Every truck assigned to a crew lead is on the cleaning rotation, no fixed number. As trucks or crew leads are added or removed, they’re added or removed from rotation automatically.
  • Each crew lead owns the cleaning of the truck(s) assigned to them. One truck, one owner, no shared responsibility.

Fixed Day and Cadence

  • One day of the week is set for truck cleaning company-wide, if changes happen. Announce the beginning of the month
  • Cadence (how often that day applies) is set by season: bi-weekly or monthly
  • Monthly cadence is anchored to a set week (e.g., “1st Friday of the month”), never a floating date.
  • Cadence changes are announced once at the start of the month, not adjusted week to week.

Step-by-Step Workflow

  1. Manager sets the season’s cadence and confirms the fixed cleaning day.
  2. Manager is responsible for reminder posts the day before the cleaning day.
    1. On the cleaning day, each crew lead cleans their assigned truck before the end of day.
    2. Manager responsible for ensuring the cadence, knowing whos day it is, and making sure that crew lead shows up
  3. Crew lead submits the report: truck number, name, and photos of cab, bed, and exterior. Timestamp is automatic.
  4. Manager gets notified as submissions come in, but does a quick spot check onsite.
  5. The manager reviews flagged issues (damage, safety, missing equipment) same day.
  6. Any truck with no submission by the end of day is treated as missed and follows up the next morning.

Cleaning Standard

A truck is complete when:

  • Cab is free of trash and loose debris.
  • Interior surfaces are wiped down.
  • Floors and mats are cleaned.
  • Tools and crew materials are organized.
  • Truck bed is cleaned out.
  • Exterior is visibly clean and presentable.

Accountability

  • Managers review submissions and follow up on gaps, no separate manual inspection required unless spot-checking.
  • Managers may inspect any truck at any time, regardless of form submission.
  • Any missed cleaning is rescheduled before the next cleaning day.

Discipline

  • 1st miss (no submission or standard not met): verbal warning and correction.
  • 2nd miss: written warning.
  • 3rd miss: performance review and corrective action plan.
  • Continued failure: further disciplinary action, up to and including sending the employee home for the day, until complete.
