Field Crew SOP's

MORNING - At the Shop

Arrival & Clock-In

  • Be at the shop by the agreed Daily Huddle Time (e.g., 6:45am start = there by 6:45am)
  • Park personal vehicle around the neighborhood
  • Clock into Shop Time in LMN on arrival
  • Crew leads clock in their crew members

Crew Lead

  • Read jobsite/task notes in LMN first, including notes on extra materials or equipment needed
  • Direct crew on what tools to load
  • Check truck lights, brakes, and overall safety before leaving

Crew Member

  • Test all power tools before loading
  • Load tools as directed by crew lead
  • Organize tools/equipment properly on the truck
  • Clean trash from truck interior; if interior is done, clean exterior too

Truck Check — Crew Lead

  • Oil level — top off if low; tell Harold if irregular
  • Tires — check damage, pressure, tread
  • Hydraulic fluid — refill if needed
  • Brakes — test before leaving
  • Lights — headlights, tail lights, running lights, turn signals

No truck leaves until the check and load are complete and signed off by the crew lead. Missing or broken item — notify Harold and set aside for repair.

Required Tools - Maintenance Crew

Power Tools

  • Leaf blowers (1 per person for leaf cleanup)
  • 1 hedge trimmer
  • 1 line trimmer

Non-Power Tools

  • 2 rakes, 1 small rake
  • 2 hula hoes
  • 2–3 garbage buckets
  • 2 spade shovels
  • 1 loppers (cab)
  • 1 hedge shears (cab)
  • 1 pole pruner
  • 2 hand pruners (employee-owned)

Required Tools - Mowing Crew

  • 2 mowers
  • 2 line trimmers
  • 2 mini blowers
  • 2 packs trimmer string
  • 2 gas cans (1 mix, 1 regular)

Truck Equipment — All Crews

  • 1 tall ladder, 1 step ladder
  • 2 gas cans (1 regular, 1 mixer)
  • 2 tarps
  • Extra trimmer string
  • Star wrench
  • Trash bags
  • Jumper cables, fire extinguisher, and flares (USDOT — always in truck)

⚠️ No Truck Leaves Without a Complete Check

Do NOT leave the shop unless the vehicle check is complete AND all required tools are confirmed loaded.

Crew lead signs off. If anything is missing or broken, notify Harold and place the item in the area to fix.

Before Leaving Shop

  • Clear trash from truck interior
  • Depart 7:10–7:15 AM
  • Dump trash at the gas station on the way to the first job

ON SITE

(every job, every time)

Arrival

  • Clock in at jobsite
  • Re-read jobsite/task notes
  • Walk full property to assess scope before starting
  • Take “before” photos, log in LMN
  • Confirm tools and materials on hand

During Work

  • Keep truck locked, windows closed at all times
  • Cones on narrow streets/hills
  • E-brake + wheels turned when parked on a hill
  • Never leave tools/gas cans on lawns or out of sight
  • No throwing tools
  • PPE required on every job
  • Breaks and water in extreme heat
  • Never disable equipment guards (grounds for termination)
  • Keep work area clear of trip hazards
  • Log arrival/departure and bucket usage in LMN
  • Report extra work or issues to crew lead/office — don’t decide on your own

Before Leaving Property

  • Final walkthrough — confirm all tasks done to standard (use checklist)
  • Bring all tools back to truck
  • Take “after” photos, log in LMN
  • Clean truck bed before driving off

Common safety rules on every job:

  • PPE required on every job
  • Breaks and water in extreme heat
  • Never disable equipment guards — grounds for termination
  • Keep work area clear of trip hazards

END OF DAY

Heading Back to Shop

  • Stop at gas station, fill up truck and gas cans for next morning
  • Empty all trash at gas station

Back at Shop

  • Return all tools to shed
  • Empty truck trash into shed; dump remainder at gas station/grocery store
  • Submit timesheet in LMN
  • Follow closing shop protocol

Closing (Last Person Out — In Order)

Complete every step below in order before leaving the property. Do not skip steps.

Step 1 — Garage

  • Both trucks parked inside
  • Garage door fully closed
  • Lock lever pulled left
  • Safety box locked — both top and bottom
  • Lights off only after the door is confirmed closed


Step 2 — Doors

  • Lock the outer mudroom door — pull the handle to confirm
  • Double-check the bottom door by hand
  • Return the mudroom key to the lockbox and reset the combo
  • Test the lockbox lever


Step 3 — Gate & Shed

  • Lock the outside shed and yank the chain to confirm
  • Pull the gate lock toward you, then lock and yank to confirm
  • Chain must be tight — no gap a person could fit through


Step 4 — Send Close-Out Photo to Work Chat

📷 Required Every Night — No Exceptions

  • Take a clear photo of the locked gate, lockbox, and security deposit box.
  • Send it to the WhatsApp Work Chat for security arming.
  • DO NOT leave the property until the photo has been sent and confirmed received.
